Information we collect

The information we handle depends on how you use the service. It typically includes:

• Account and contact information, such as email address and name, when you create an account or place an order.
• Uploaded documents and files, including filenames and the contents of those files.
• Text and data extracted when we analyse a document for quoting, such as detected language and word or page counts.
• Order metadata, such as services selected, languages, amounts charged, payment status, and delivery estimates.
• Customer communications about an order, including messages sent to us and transactional emails we send you.
• Technical, security, and operational logs, such as sign-in events, download requests, and basic device or browser data needed to operate the site.
• Cookies and session identifiers used to keep you signed in, protect checkout, and remember a quote in progress.

How we use information

We use this information to:

• Provide quotes after you upload files.
• Process orders and take payment.
• Produce and deliver translations.
• Authenticate you and manage your account.
• Respond to customer support requests.
• Detect fraud, abuse, and security incidents.
• Operate, maintain, and improve the service.

Documents and files

Source files and completed translations are stored as private order records, not on a public page. Access is limited to the customer account or the original order link. Completed files download through time-limited links.

We analyse documents in order to count billable text, detect language, and produce a quote. That analysis is part of providing the service, not a separate public product.

Payments

Payment card data is collected and processed by our payment provider, Stripe. TheTranslate does not receive or store full card numbers.

We receive payment-related events needed to confirm an order, such as payment status and amounts charged.

How we share information

We share information with service providers only as needed to run TheTranslate. Categories that may apply today include:

• Stripe, to take payment and handle payment events. Card details are handled by Stripe, not stored by TheTranslate.
• Supabase Auth, to authenticate customer accounts.
• An email delivery provider (currently Resend, when transactional email is enabled) to send order and account messages.
• Hosting, infrastructure, and storage providers that run the application and keep files private. Specific vendors in this category may change.

We may also disclose information if required by law or to protect the service, our customers, or others from fraud or abuse. We do not sell your documents.

Retention

We retain information only as long as reasonably necessary for providing the service, meeting legal and accounting obligations, handling disputes, preventing fraud and abuse, and other legitimate operational needs.

Uploaded source files and completed translations may be deleted in line with our operational retention practices.

You may contact us to ask about deletion of documents we hold, where applicable, subject to what we must keep for legal, security, accounting, or operational reasons.

Cookies and session data

We use cookies and similar storage to keep a session, protect forms, and remember a quote you have started. These are needed for the site to function. We do not use this page to describe advertising cookies, because the public site does not currently run third-party ad networks.

International customers

TheTranslate may be used by customers in more than one country. Information may be processed in the countries where we and our providers operate.

We do not claim that the service is certified under UK GDPR, the EU GDPR, or any other privacy standard.

Your choices

You can access orders from your account when you are signed in. Guest customers can use the confirmation link sent with the order.

You may ask us to update account details or discuss deletion of documents we hold, subject to what we must keep for legal, security, accounting, or operational reasons. Use the contact method below.

Security

We use access controls, private file storage, and time-limited download links. No method of transmission or storage is completely secure, and we do not publish a detailed internal security architecture on this page.
